Woodwide helps adults meet in person through shared activities. This policy explains
what we collect, why, and what you can do about it. It is written to be read, not to be
skimmed past.
Who is responsible
The controller of your personal data is Rostislav Radionov, conducting business activity
registered in Poland. Contact: privacy@woodwide.app.
Your location is never shown to anyone
This is the rule the product is built around, so it comes first.
We store your last known coordinates to work out who and what is near you.
Other people never see your coordinates. They see a rounded distance — for example
“1.2 km” — and nothing more precise.
Meetups you create show a place only when you deliberately choose one. If you leave
the place open, the map point is snapped to a coarse grid of roughly half a kilometre.
Your coordinates are not included even in the data export you can request. They do not
leave our servers.
We do not track you in the background. Location is read only while the app is open.
What we collect
To create an account: your email address and your date of birth. The date
of birth is used to confirm you are 18 or older; other people see only your age, never the date.
Your profile: display name, and optionally a photo, a short bio, city,
country, languages you speak, gender, and your interests. Everything except your name is
optional, and gender is shown to others only if you switch that on.
What you do in the app: meetups you create or join, clubs you belong to,
invitations sent and received, messages in meetup chats, and the answers you give after a
meetup — whether it happened, who came, and whether you would meet again.
Technical data: your approximate location, your device's time zone and
language, and a push notification token if you allow notifications.
Safety records: reports you file, people you block, and any restrictions
applied to your account.
Why we are allowed to process it
To provide the service (Article 6(1)(b) GDPR) — your account, the feed,
meetups, chats and clubs. Without this data the app cannot work.
To keep people safe (Article 6(1)(f) — our legitimate interest) —
blocking, reports, moderation, and the 18+ age check. Meeting strangers in person
raises the stakes, and this is the minimum we consider responsible.
With your consent (Article 6(1)(a)) — access to location, camera,
photos, calendar and push notifications. Each is asked for separately, and each can be
withdrawn in your phone's settings at any time.
What other people see
Your display name, photo, age, city, bio, interests, and a rounded distance from them.
People who attend the same meetup also see that you are attending it.
They never see: your email address, your date of birth, your exact location, the feedback
you gave about anyone, or who you blocked or reported.
Feedback after a meetup is private. Two people are connected only when both independently
say they want to stay in touch — a one-sided answer is never revealed.
Who else receives your data
We do not sell your data and we do not use it for advertising. It is processed on our
behalf by:
our hosting provider, for running the service;
our email provider, for sending sign-in codes and notices;
Apple, for delivering push notifications;
an error monitoring service, which receives technical diagnostics without message content.
When you search for a place, the text you type is sent to an open map service to find
matching addresses. Your coordinates are rounded to about a kilometre before being sent so the
service cannot learn where you actually are.
Our servers are located in the European Union.
How long we keep it
Your account data, for as long as your account exists.
Meetup chats, for 48 hours after the meetup ends. They are then deleted.
Reports and moderation records, for up to a year, so repeated behaviour can be seen.
After you delete your account, your profile, messages and identifiers are erased or
anonymised immediately. What remains are records that other people are part of — for
instance, that a meetup took place.
Your rights
Under the GDPR you may:
Get a copy of your data. Profile → Export my data. The file arrives by
email, in machine-readable JSON, usually within minutes.
Delete your account. Profile → Delete account. This is immediate and
cannot be undone.
Correct anything wrong. Most of it you can edit yourself in the app.
Object, restrict, or withdraw consent — write to us, or switch off the
relevant permission on your phone.
Complain to the Polish supervisory authority (Prezes Urzędu Ochrony
Danych Osobowych, uodo.gov.pl) or to the authority in the country where you live.
Children
Woodwide is for adults only. You must be 18 or older to create an account. We ask for a
date of birth at sign-up and block accounts that do not meet this. If you believe a minor is
using the service, report the profile in the app or write to us — we act on these first.
Changes
If we change this policy in a way that matters, we will tell you in the app before the
change takes effect.
